E-Reserve Submission Details
Lecture notes can be submitted to Electronic Reserve in both print and electronic formats - electronic format is preferred as it will make processing much  quicker. Books, AV items and computer discs can also be placed on restricted access.

Submission Guidelines
Hardcopy Material (Chapters/Articles)
Multiple articles/chapters submitted for scanning cannot be grouped together as readings. Such material is required to be submitted individually with citations clearly indicated for copyright purposes on each item.

To assist us, please ensure all photocopies submitted are:

  1. Single-sided copies.
  2. Copied in the same orientation - for example: all portrait or all landscape.
  3. The clearest copy possible. Ensure that the shadows from binding do not obscure text. Must be of good quality for scanning.
  4. Background of page is as clean as possible.
  5. Keep document to an average of 20 pages.
  6. Copyright – all items submitted must have citations (see boxed text below).
  7. PowerPoint slides – send originals, do not convert to PDF before sending.

Note: Poor quality copies will be returned to Lecturer for replacement. Scanning poor quality copies makes for an illegible E-Reserve item for students.

  •  Minimum processing time to make items available on Electronic Reserve is 3 working days.
Journal Articles & Book Chapters Copyright

Journal articles and book chapters can be placed on electronic reserve but the requirements of the new Digital Agenda Act must be adhered to. Copyright information can be located at the CEDS Copyright Site and you should read these documents before submitting copyright material to be scanned for reserve.

The procedure for submitting  E-Reserve Material as a result of the Digital Agenda Act are as follows:

  • Book of Readings will no longer be accepted, each Article must be individually catalogued.  A Full Citation must be provided on the front page of each Article.
  • Each article will require an  Electronic Reserve form to be submitted.
  • Please enter Title as given to Students in their Reading Lists.
  • Students should be encouraged to access these readings  via the Subject Code or the Lecturer’s name via Reserve in the Library Catalogue.
  • The form requires you to have checked the University Digital Copyright Registry - http://140.159.72.155/summit/copyrightRegister.asp
    and that there is no duplication of the Article before submitting the Article to be added to the Electronic Reserve database in the Library.
Books, AV items and Computer Discs to Be Available on Restricted Loan

It is possible to place books, AV items and computer discs into the restricted Reserve Collection at any campus.

These items will generally be available for 2-hour loans within the library.

For further information on submitting print/hard copy materials to Electronic Reserve please contact the staff member responsible for Reserve on your particular campus.

  •  Minimum processing time to make items available on restricted loan is 3 working days.

Submission
Hardcopy Submission - Send via Internal Mail
  1. Click on the link to the (Electronic) Reserve Placement form.

  2. Print it out and fill in the details related to the item you wish to place on (Electronic) Reserve - please ensure that you provide all information required on the form and check any sources as requested.

  3. Attach the form to the article/s or chapter (please ensure that only single-sided copies are submitted).

  4. Send the form and attachments via Internal Mail to the appropriate (Electronic) Reserve co-ordinator for your campus (see table below).

Electronic Submission - Send via E- Mail
  1. Click on the link to the (Electronic) Reserve Placement form.

  2. Fill in the details related to the item you wish to place on (Electronic) Reserve.
  3. Save the filled-in form as a file on your hard drive - for example: c:\temp\reserve.doc

  4. Select the appropriate email link to your campus (Electronic) Reserve Contact (see table below) - the subject (Electronic) Reserve Submission will be automatically included in your message.

  5. Attach the completed form and the files you wish to submit to your email - please ensure that you include the citation details for all attached articles in the body of your email.

  6. Send your email.
